Privacy notice
Controller and contact
This notice covers enquiries submitted through the public forms on safetygence.com, stigway.com and tenderlookout.com, and related correspondence. It does not describe processing within registered product accounts or workspaces.
The controller is SAFETYGENCE sp. z o.o., ul. Józefa Piusa Dziekońskiego 1, 00-728 Warszawa, Poland, KRS 0000886461. For personal-data matters, write to admin@safetygence.com or our registered office. This notice provides the information required by Article 13 GDPR.
Information, purposes and legal bases
We process your name, email, enquiry topic and message, and your organisation if supplied, to answer and manage correspondence. Fields marked with an asterisk are needed to process the form; organisation is optional. Providing data is voluntary, but without an email address we cannot reply. Please avoid sensitive personal data and confidential project information.
- Steps you request before a contract with you: Article 6(1)(b) GDPR.
- Other correspondence, including on behalf of your employer: Article 6(1)(f). Our legitimate interest is answering enquiries and managing business relationships.
- Operating and securing the site, preventing abuse, and establishing, exercising or defending legal claims: Article 6(1)(f).
- Applicable legal obligations, such as retaining records arising from a contract: Article 6(1)(c), to the extent required by those rules.
Sending an enquiry does not subscribe you to marketing. Responding to correspondence does not require marketing consent.
Recipients and form delivery
Authorised staff handling correspondence and our hosting and email providers have access as needed. The company website uses GitLab Pages and the public product pages use Scaleway hosting; providers may process technical request information, including IP addresses, time and pages visited. Google Workspace provides our email. When the form sends directly, Google Apps Script processes the submission and forwards it to our inbox; a Google confirmation page opens. If the button says “Open email draft”, the form instead opens your email application and sends nothing until you send the draft.
If the form displays a spam check, it uses Cloudflare Turnstile. Cloudflare processes browser and connection information and the verification result. Your enquiry text is not sent to the CAPTCHA service. See the Turnstile Privacy Addendum.
Processing outside the EEA
Our providers operate internationally, so processing may take place outside the European Economic Area, including in the USA. Their documents describe transfer mechanisms: adequacy decisions, including the EU–US framework where applicable, or European Commission standard contractual clauses. You can contact us for the applicable transfer information and a copy of relevant safeguards. See GitLab’s privacy information and the Google Workspace data-processing terms.
Retention
We retain correspondence until the enquiry and related follow-up are resolved. If a contract results, relevant messages may become part of that relationship’s records. Longer retention is limited to information needed for a legal duty or until the applicable limitation period for claims expires; data is deleted when those purposes end. The period depends on the correspondence and resulting relationship. GitLab states that Pages access logs are deleted on a rolling seven-day basis. The form receiver does not store enquiry content in a spreadsheet or application logs; its anti-spam email hash expires after two minutes.
Your rights
Subject to GDPR conditions, you may request access and a copy, rectification, erasure or restriction. You may object on grounds relating to your situation where processing relies on legitimate interests. Portability applies to data processed by automated means on a contractual basis. You may complain to the Polish authority, Prezes Urzędu Ochrony Danych Osobowych, or another competent supervisory authority. Use the controller’s contact above to exercise your rights.
Cookies and automated decisions
This site runs no analytics, advertising, tracking pixels or cookies of its own. Fonts and illustrations are served locally. External websites and Google’s confirmation page have their own service practices. We do not profile enquirers or make automated decisions that produce legal or similarly significant effects. Automated form checks serve to prevent spam.
